Construction document control software keeps a contractor’s documents accurate, current, and traceable: contracts, drawings, RFIs, submittals, dailies, and closeout records. For small contractors the honest question is not which platform is best, but how much system you actually need at your size. This guide answers that, and includes the free version that genuinely holds up.
Definition: construction document control is the discipline of tracking every project document through its lifecycle so that at any moment you can prove which version is current, who received it, and what changed.
Thirty years of operations taught me one rule about document systems: the tool matters less than whether the discipline survives your busiest month. So this guide is organized around what breaks at each size of operation, not around a feature checklist.
What counts as document control on a construction project?
Six document groups, and a small contractor needs a controlled home for all of them:
- Contract documents. The signed contract, general conditions, and every executed change order. The money documents.
- Drawings and specifications. The current issued set, every superseded revision, and a record of who got what and when. This group has its own tooling market, covered in our drawing management software buyer’s guide.
- RFIs and submittals. Questions, answers, and approvals, each tied to the sheet or spec section that raised them.
- Field records. Daily site reports, photos, delivery tickets, inspection results. The evidence layer; our site report guide covers it with a template.
- Compliance papers. Insurance certificates, lien waivers, licenses, safety documentation. Boring until the day they are the only thing anyone cares about.
- Closeout documents. As-builts, warranties, O&M manuals. The job is not done until these are.
If a dispute would touch a document, that document needs version control and a known home. That is the whole test.
Document management vs. document control: which one do you need?
Management is storage: files in folders, findable when needed. Control adds three things management lacks: versioning (which of the five copies is real), distribution records (who received the current version, and when), and an audit trail (what changed between versions, and who changed it).
Small contractors get sold “document management” constantly. What keeps you out of trouble is control. A beautifully organized Dropbox where nobody can prove the foreman had Revision C on Thursday is management without control, and in a dispute it performs like neither.
What should a small contractor actually buy?
Three tiers. Be honest about which one you are in.

Two buying rules that save small contractors real money. First, buy for the specific thing that broke, not the demo. If folder discipline died, you need versioning and distribution, not a full project management suite. Second, if you subcontract to GCs who run Procore or Autodesk, you will live in their system on their jobs anyway; buy the smallest system that covers your own jobs and your own records, because their platform protects them, not you. Your dailies, your photos, and your transmittal log are yours.
The free folder system that actually holds up
Tier one deserves specifics, because run properly it beats a badly-adopted platform. Five rules:
- Fixed folder tree, every job identical. Contract / Drawings-CURRENT / Drawings-SUPERSEDED / Specs / RFIs / Submittals / Dailies / Photos / Compliance / Closeout. Nobody invents folders.
- File names carry the facts:
ProjectCode_Sheet_Rev_Datefor drawings,ProjectCode_RFI-014_Subjectfor RFIs. If the name does not say the revision, the name is wrong. - One current-set folder, ruthlessly enforced. New issue arrives: current sheets move to SUPERSEDED the same hour. Nothing lives in both.
- A transmittal log. One spreadsheet: date, document, revision, who it went to, how. Ten seconds per entry, and it is the difference between management and control.
- Dailies filed daily, with photos, into the job folder. The evidence layer only works contemporaneously.
That system costs a cloud subscription and a habit. Its weakness is the habit: discipline decays in your busiest month, which is when the stakes peak. When you catch the SUPERSEDED folder empty two jobs in a row, that is your signal to move up a tier.
The two documents that sink small contractors
Across the disputes I have seen, two document failures do most of the damage.
Building from a superseded drawing. Document control reduces this risk but cannot eliminate it, because control tracks which sheet is current, not what the crew actually taped to the wall. The fix is a one-line drawing revision check in the daily report, tied to the current-set rule.
Current sheets that contradict each other. This is the failure document control cannot even see. The architectural and structural sets can both be current, both perfectly versioned, both distributed with a clean transmittal trail, and still disagree about the same stair, beam, or elevation. Control certifies the paperwork; it does not read the drawings.
