A bad RFI starts with a crew standing at a snapped chalk line, a form crew waiting, and two sheets that say different things. A usable Spanish construction RFI template gives the field team a way to document the conflict clearly before somebody guesses, pours, frames, or installs the wrong work.
This is not about translating office paperwork word for word. It is about getting a precise question from the slab to the architect or engineer while the actual conditions are still in front of the crew. The best template is short enough to complete on a phone, specific enough to answer, and tied to the exact sheets causing the problem.
Why generic RFIs fail Spanish-speaking crews
Most RFI forms were built for project managers at desktops. They ask for broad descriptions, bury the drawing references, and assume everyone writing the issue uses the same technical language. On an active jobsite, that creates a gap between the person who finds the conflict and the person who submits it.
A foreman may see that the architectural opening dimension does not match the structural detail. A crew member may recognize that a beam callout is missing from the latest structural sheet. If the issue gets relayed verbally through three people, the actual conflict can disappear. What reaches the design team becomes, “Please clarify opening.” That is not an RFI. That is a vague request that invites a vague response.
A Spanish-language RFI needs construction terms the crew already uses, along with the references the design team needs: sheet number, revision date, detail or grid location, and the exact conflicting note or dimension. It should also preserve the original drawing language when necessary. If the plan calls out “Header Type H3,” do not translate the designation into something unrecognizable. State the callout as drawn, then explain the conflict in Spanish.
What a field-ready Spanish construction RFI template includes
An RFI is not a place to argue design intent or tell the engineer what to approve. Its job is to show the conflict, identify the affected work, and ask a direct question. The design professional still makes the decision.
Use the following template as a field format. It works for architectural and structural conflicts, revision drift, layout discrepancies, missing members, and installation questions.

The labels are in Spanish because the person finding the problem should be able to write it directly. Keep project names, sheet numbers, detail tags, drawing titles, and official designations exactly as issued. Those citations are what make the RFI defensible when the response comes back days later.
Write the conflict, not the confusion
The subject line should identify the work and location. “Clarificación” is too broad. “Conflicto de dimensión de abertura - Ejes C-6/C-7” gives the receiver a place to start.
The body should state what each document says. Do not write, “Los planos no coinciden.” Write what does not match: “A-5.2, revisión 3, indica abertura de 8'-0”. S-4.1, revisión 2, detalle 7, muestra marco para abertura de 7'-4”.” That tells the architect and structural engineer exactly what they need to reconcile.
The same rule applies to revision dates. A crew can be working from a current architectural set while a structural sheet in the field folder is two revisions behind. Before treating it as a design conflict, verify the sheet issue date. The right RFI may be a request for the current structural sheet, not a question about how to build the condition.
Example: opening and header conflict
Here is the difference between a weak RFI and one that gets answered.
Weak: “Favor de confirmar puerta en sala eléctrica.”
Field-ready: “En Nivel 1, Ejes D-3 a D-4, plano A-2.1, revisión 4, indica una abertura de puerta de 4'-0” en el muro oeste de la sala eléctrica. Plano S-3.2, revisión 3, detalle 5, indica un dintel H2 con longitud de 5'-8”, correspondiente a una abertura de 3'-0”. Confirme la abertura aprobada y el tipo/longitud de dintel requerido antes de instalar el framing.”
The second version does not require anyone to hunt through a full plan set just to understand the question. It identifies the scope, exposes the mismatch, and names the decision needed.
Build the RFI at the point of conflict
A template alone will not fix a broken workflow. The RFI must be created while the field team can see the condition, the grid lines, and the plan sheets. Waiting until the end of the day invites memory errors. Waiting until the weekly coordination meeting turns a small mismatch into lost production.
Start by stopping only the affected work where safety, quality, or design intent is unclear. Do not automatically shut down the entire area if adjacent work can continue safely. Then capture the evidence: the two sheet references, their revision information, a marked screenshot or plan crop, and a site photo when the installed condition matters.
Next, have the person closest to the work explain the issue in Spanish in plain construction language. A superintendent or project manager can review the wording, but they should not have to reconstruct the conflict from a phone call. The crew saw it first. Their observation belongs in the record.
Finally, route the RFI to the party with authority to answer it. A design discrepancy goes to the architect or engineer through the project’s required channel. A missing current sheet may go to document control or the general contractor first. The route depends on the contract and project procedures. The evidence requirement does not.
Avoid translation that changes the technical meaning
Construction Spanish varies by trade, region, and crew. “Dintel,” “cabezal,” and “header” may all be understood differently depending on who is reading. That does not mean the form should avoid technical terms. It means it should pair plain Spanish with the drawing callout and location.
For example, write “dintel (Header H3 según plano)” rather than replacing the structural designation. Write “eje” alongside the grid reference. Preserve feet-and-inches dimensions exactly as shown unless the project is documented in metric units. A translated RFI that changes a member mark, detail reference, or dimension is worse than no translation at all.
This is also why crews should avoid using machine-translated phrases without checking them against the drawing. “Beam,” “joist,” “girder,” and “header” are not interchangeable. Neither are “muro de carga” and a partition wall. The question must describe the actual element before a qualified person can decide what to do.
Make citations non-negotiable
Every RFI should allow a reviewer to find the conflict without relying on a verbal explanation. At minimum, capture the sheet number, revision, detail or grid location, and the conflicting language or dimension. Add a photo when the built condition changes the question.
That standard protects the crew. If a design response later contradicts an earlier direction, the project has a record of what was seen, where it was seen, and which documents were active at the time. It also prevents the familiar blame game where the field gets accused of building from the wrong sheet after the fact.
